PRIVACY POLICY

Purpose
The purpose of the privacy policy is to describe how we collect and process personal data about you in accordance with the General Data Protection Regulation (GDPR), as enacted by DPA 2018, when you are becoming a prospect or client, or becoming an employee of the company.

The Data We Collect
FP Accounting Limited is known as the ‘’Controller’’ of the personal data you provide to us. We only collect basic personal data about you which does not include any special categories of personal information about you, known as Special Category Data. The data we collect includes the following:

  • Identity Data – first name, maiden name, last name, marital status, title, date of birth, NI number and gender.
  • Contact Data – Billing address, delivery address, email address and telephone numbers.
  • Financial Data – Bank account details.

How We Will Collect The Data
We will collect this data from forms filled in at registration, by communicating with us by post, phone, email or otherwise including when you:

  • Become an employee.
  • Request a quote for our services.
  • Come onboard as a client of our services.

The Reason Why We Collect This Data
We need to know your basic personal data in order to carry out our obligation in accordance with the Letter of Engagement or where it is necessary for our legitimate interests. Your interests and fundamental rights do not override those interests. We will not collect any personal data from you we do not need to provide and oversee this service to you.

Where Your Data Is Kept
We are based in the UK and we store our data within the EU.
Bitlocker and AVAST Business Cloudcare are installed and used on all PC’s and laptops as appropriate security measures to prevent your personal data from being accidentally lost, used or accessed in an unauthorised way, altered or disclosed.

How We Use Your Data
Your data will only be used as below:

  • To register you as a new customer.
  • To process and deliver our service.
  • To manage a legitimate interest while in the recruitment process for job applicants and new employees.
  • To identify and prevent fraud for our own (or a third party’s) lawful interest, provided your rights don’t override these.

Disclosures of Your Personal Data to Others
Your data may be shared internally, we may have to share your personal data with the parties set out below:

  • HM Revenue & Customs.
  • Taxcalc – Accounting Software.
  • VT Transaction – Accounting Software.
  • Quickbooks – Accounting Software.
  • Brightpay – Payroll Software.

We require all third parties to whom we transfer your data to respect the security of your personal data and to treat it in accordance with the law. We only allow such third parties to process your personal data for specified purposes and in accordance with our instructions.

How Long We Will Keep Your Data
Your data will only be used and stored for so long as necessary to fulfil the purposes we collected it for, including for the purposes of satisfying any legal, accounting or reporting requirements. We continually review what information we hold and delete what is no longer required. The longest time that we will hold your data will be six years following the financial year to which it relates.

Your Legal Rights
As a data subject, you have a number of rights and we want to ensure you remain in control of your personal data, and to understand those rights. They are:

  • To have access to the data we hold and obtain a copy on request.
  • To request us to change incorrect or incomplete data.
  • To request us to delete or stop processing your data, for example where the data is no longer necessary for purposes of processing.

There are exceptions to the rights above and, though we will always try to respond to your satisfaction, there may be situations where we are unable to do so.
